DIP plans to go paperless for news clipping circulation

Delhi government's Directorate of Information and Publicity (DIP) plans to go paperless as far as circulation of news clippings to various departments is concerned.

Instead of circulating newspaper clippings using thousands of sheets of papers among 40 government departments on a daily basis, DIP plans to digitally scan clippings and then mail it to the department heads.

A trial run of the project has been going on for some time, a senior official said. Based on a report, DIP will not only use the system for Delhi Secretariat, but extend it to Delhi Assembly sessions as well, added the official.
 

According to an estimate, the initiative will save at least 500 trees every year.

Under the present system, DIP daily circulates clippings of English, Hindi, Urdu and Punjabi language newspapers, comprising 100 pages, to at least 40 Delhi government departments.

As many as 10 officials are required to go through all newspapers on a daily basis to gather clippings and then get photocopies done to prepare the compilation.

"The job is not only cumbersome but also results in wastage of paper. Under the trial run, DIP is putting paper clippings online," the official said, adding that it requires fewer officials and less time to scan files and mail them.

Based on the success of the proposed system, DIP plans to use the same for Assembly sessions.

"Thousands of sheets of paper are used for circulating agenda, reports and other documents during... The Assembly session.

"Instead of doing that, the plan is to prepare only 70-80 copies of the agenda and mail the rest of the copies online," the official said.
